Privacy Policy
Effective October 17, 2026
Keep Waco Outdoors (keepwacooutdoors.com) is operated by GTG Outdoors. GTG Outdoors offers outdoor education, trips, camps and community programs. This policy explains how we handle personal information connected with our website, inquiries, registrations, scholarship applications, purchases, donations and communications. The children and families section explains how parents and guardians can contact us about a child’s information.
Information you provide
The information we receive depends on how you interact with us. It can include your name, email address, telephone number, mailing or delivery address, messages, program selections and registration or order details.
Program records can include a participant’s name and age, parent or guardian details, emergency contacts and signed permissions or releases. We may ask for health, allergy or accommodation information relevant to participation and safety.
Scholarship applications ask for the intended recipient, requested program, eligibility information and written responses. The current form includes eligibility categories related to race or ethnicity, gender, foster-care history, SNAP eligibility and accommodation needs. Please provide information relevant to the application and contact us if you have questions about a field.
For purchases and donations, we and the services supporting the transaction receive contact, order, payment and transaction information needed to process it. Payment information is handled through the payment services offered at checkout. Do not send card details through an ordinary contact form or email.
How we use information
We use information to respond to inquiries; manage registrations, purchases and donations; communicate about programs; coordinate volunteers; evaluate scholarship applications; support participant safety; and deliver our programs. Program and demographic information is also used for program evaluation and grant reporting.
We use website information to operate the site, understand website activity and measure outreach. Squarespace analytics and Meta Pixel are used for measurement and advertising, as described below.
You can ask to stop newsletters and promotional messages by using the unsubscribe instructions or contacting us. Communications needed for an existing registration, payment or safety matter may still be sent.
Services and information sharing
Our website is hosted by Squarespace. The donation link on our website uses Donorbox. These services and the payment providers offered at checkout handle information needed to deliver their services. Information submitted through forms, purchases or donations can be held by the service used as well as in GTG Outdoors records.
GTG Outdoors officers can access the program records held on our secured drive. Information may also be disclosed as necessary to comply with legal requirements or protect the safety of participants and staff. The website’s analytics and advertising services can receive device and browsing information through their technologies.
For details about provider practices, see the Squarespace Privacy Policy (https://www.squarespace.com/privacy) and Donorbox Privacy Policy (https://donorbox.org/explore/privacy). Services reached through external links and social platforms have their own privacy practices.
Comments posted on public donation walls or social media can be visible to other people. Do not include a child’s personal details, health information or other private participant information in a public comment.
Cookies and advertising or analytics tools
Cookies are small files placed on a device. Our Squarespace site uses cookies and similar technologies for website functions and measurement. Technical and usage information can include IP address, browser and device details, referring pages, pages visited and interactions.
Keep Waco Outdoors uses Meta Pixel through Squarespace. With advertising consent, Meta can receive device and browsing information and shopping events such as product views, items added to a cart, checkout activity and completed purchases to measure outreach and improve Facebook and Instagram advertising. Event information may include product names or identifiers, quantities, value and currency. The presence of this tool does not mean that every visit or action is recorded successfully.
Our cookie banner offers Accept all, Decline all and Manage cookies. Non-essential cookies are restricted unless you give the relevant consent. Necessary cookies remain enabled for core website and checkout functions. You can change your choices at any time using Cookie Preferences. Squarespace applies advertising-consent controls to Meta Pixel; the script library may load before advertising consent is given.
You can manage cookies through your browser settings and review privacy or advertising choices offered by Google and Meta. Blocking cookies may affect website functions. Browser settings may not control every tracking technology or information already collected.
Children and families
Our programs include children, and we receive information about children to organize and support participation. A parent or legal guardian must complete and submit youth registration, scholarship and permission forms. Children should not submit these forms themselves. An adult may include a child’s own responses when completing an application on the child’s behalf.
Information an adult provides about a child is different from information a child submits directly online. The requirement for adult-submitted forms is an instruction to families; it is not a claim that our website technically prevents a child from entering information.
A parent or legal guardian can contact basecamp@gtgoutdoors.org to request access to, correction or deletion of their child’s information, or to discuss further collection or use. If you believe a child submitted information directly without the appropriate adult involvement, please let us know. We may need to confirm identity and parental or guardian authority before releasing or changing records. Legal obligations and current program needs may affect a request.
Photographs and recordings
GTG Outdoors uses program photographs and recordings in its outreach. Participation requires the applicable adult or parent or guardian release, which includes photo, video and audio permissions. Read that release before registering and contact us if you have questions about the requirement or the uses it permits. This privacy notice does not itself grant media permission.
Contact basecamp@gtgoutdoors.org with a question or request about a photograph or recording involving you or your child. We cannot control copies independently shared or retained by other people or platforms.
Retention and security
We store program records on a secured drive and retain them for up to five years. GTG Outdoors officers can access these records. This program-record retention period does not describe the separate retention practices of Squarespace, Donorbox, payment services, social platforms or advertising providers; consult their privacy information for those practices.
No electronic storage or transmission system can guarantee complete security. Contact us if you believe information connected with GTG Outdoors has been accessed or used improperly.
Your requests and policy updates
You may ask us to review, correct or delete personal information, or stop optional marketing, by emailing basecamp@gtgoutdoors.org. We may need to verify your identity and explain any lawful reason a request cannot be fulfilled in full. Applicable privacy rights depend on the law and circumstances, and this policy does not limit those rights.
When this policy changes, we will post the updated version with a revised effective date. GTG Outdoors Terms and Conditions are available at https://www.gtgoutdoors.org/terms-of-service-3 for reference.
